Using Paylocity

Important: Before using this integration, you will first need to fill out the Paylocity Automated Data Exchange form from Paylocity. The turnaround time will be within the week of receipt from Paylocity where you will receive the credentials required from them. The integration will not work until that form is submitted.

To get started with Paylocity, enable the integration via the Integrations page.

Once you've enabled Paylocity, click on the Configure button and enter your Company ID.

You can also set the platform behaviour for users that are marked as terminated in Paylocity. If necessary, you can have their logins disabled, preventing them from accessing the platform and being counted as an active user while also retaining their records.

Termination Date Action: If a Termination Date is found on a user, you can choose to disable their login and prevent them from accessing the platform.

Auto Import New Users: Automatically adds new users in Paylocity to your SkyPrep platform as long as they fall under your import rules.

Enable Email Notifications on New User Creation: Determines whether users added via the integration have email notifications enabled.

Remove users from groups they are no longer a part of in Paylocity: If you used Data Mapping to assign users to Groups in SkyPrep based on a Paylocity user field, this setting will unenroll users from Groups they no longer belong to in ADP.

Deactivate users in the LMS that are no longer in Paylocity: If enabled, users that are no longer in Paylocity will be locked out of the platform.

Reactivate terminated users in the LMS that are no longer terminated in Paylocity: If enabled, users that were terminated in the past (with a termination date) will be reactivated in SkyPrep if a termination date is no longer associated with their profile in Paylocity.

Next, click on Data Mapping.

IMPORTANT: Configure your Data Mapping and pay attention to include the first name, last name, and email, as those three are mandatory for proper account creation.

Primary is the main data field that SkyPrep will pull from, while Seconday is the field that SkyPrep will use if the Primary is empty.

If you are on a Paylocity plan that supports SSO and you intend to use it with SkyPrep, you should use SAML and ensure that your chosen attributes reflect the setup you have here.

Next, click Import Rules, then on Add Rule.

Here you can set up different rules to determine which users will show up in your import list. Just make sure to click Save Rules at the bottom of your page once you're done.

Please note that this acts as a failsafe and users who you manually import will have to match these rules as well.

Finally, click on Users. This will begin loading in all of your users, which may take some time. Once the list is populated, you can use the checkboxes to select all or individual users for import.

After finalizing the list, click on Import to begin adding the users to SkyPrep.
