To begin setting up your Hibob integration, click on the Settings button and then on Integrations.

Next, click Add to SkyPrep under Hibob.

If Hibob is under the Disabled Integrations list, click Configure.

Next, select Link Hibob.

The first thing you will need to link your Hibob account is your User ID and Token.

To obtain a Hibob User ID and Token, follow these steps:

Create the Service User in your Hibob Account

1) In your settings, go to integrations and click Manage Service Users

2) Create a New Service User

3. Save the Service User ID and Token

Create a Permission Group

3) Back in your settings, go to Permission Groups and select Create Group.

4) Name the group, then, in the Group members section, choose Select people by condition and select Edit.

5) In the Select people by condition pop-up, delete the existing condition and add the Service User previously created in the dropdown menu for Add Specific Employees then click Apply. DO NOT ADD ANY CONDITIONS IN THE TOP SECTION.

6) Finish the initial creation of the Group by selecting Create. If a pop-up appears, Confirm the creation of the group.

7) Under People's Data, edit the data that can be accessed by choosing Select people by condition and selecting Edit.

a.) Click Select by Condition

b.) Click Edit

c.) Lifecycle Status = Employed, Hired, Terminated

8a) Under People's Data add the following permissions.

Please note the permissions below are the required permissions for the full HRIS API. You only need to configure the permissions based on your use case.

  • Email

    • Edit selected employees' email addresses

  • Employment

    • View selected employees' Employment sections

    • View selected employees' Employment section histories

  • History

    • View selected employees' profile changes history

  • Identification

    • View selected employees' Identification sections

    • Edit selected employees' Identification sections (only applicable if you want full unobscured SSN numbers.)

  • Lifecycle

    • View selected employees' Lifecycle sections (This is needed to surface Employment Status)

    • Edit selected employees' Lifecycle sections

    • View selected employees' Lifecycle section histories

  • Personal

    • View selected employees' Personal sections

    • Edit selected employee's Personal sections (Note: This is needed to surface Date of Birth. Merge will NOT edit any employee sections)

  • Personal Contact Details

    • View selected employees' Personal contact details sections

    • Edit selected employees' Personal contact details sections

  • Work

    • View selected employees' Work section histories

8b) If the use case of the customer you are integrating with does not require Payroll, Address, EEO, Home, or Time Off, you do not need to include those! Move onto step 9.

  • Address

    • View selected employees' Address sections

    • View selected employees' Address section histories

  • EEO

    • View selected employees' EEO sections

  • Home

    • View selected employees' Home sections

  • Payroll

    • View selected employees' Payroll sections

    • View selected employees' Payroll section histories

  • Timeoff:

    • Balance

      • See selected people's time off and sick leave balances

    • Requests

      • Create, edit, and cancel people's requests that haven't been approved yet

      • Edit and cancel people's future requests that have been approved

      • Edit and cancel people's past requests that have been approved

      • View, approve or decline requests that are pending approval of others

    • See who's out today

      • See who's out today

Link your Hibob account to Merge

9) Finally, copy and paste the User ID and Token into Skyprep.

Set the integration to Enabled and fill in Client Namespace, Username, and Password for your Hibob account, and designate what user fields you want to use in the Expand Fields area. The expected format for Expand Fields is comma-separated text with no spaces, such as "contacts,employmentstatuses,managername".

Next, set the Time Between API Calls. This sets how quickly the integration can submit API requests which allows you to ensure you stay within your allowed API rate limit.

Termination Date Action lets you decide what happens if a termination date is added to a user's profile in Ceridian Dayforce. If Reactivate terminated users in the LMS that are no longer terminated in Hibob is turned on, user will be reactivated if the Termination Date was removed.

Enable Email Notifications on New User Creation will send the New User Notification Email to users when new accounts are created via the integration.

Remove users from groups they are no longer a part of in Hibob will unenroll users from Groups they are removed from in Hibob. This will also unenroll them from any courses and Learning Paths they are enrolled in via that Group.

Deactivate users in the LMS that are no longer in Hibob will disable removed users, preventing them from being able to log in while retaining all of their training records.

Next, click on the Data Mapping field.

Here you can choose which SkyPrep Property is linked to your Hibob values. The Primary Value is what will be used first, with Secondary Value being used if the Primary value is blank in a user's profile.

You can add additional SkyPrep Properties by adding additional Custom Labels in your Platform Settings area.

Finally, click on Import Rules. This area allows you to set rules to determine which users are added to your platform. To add a rule, click on Add Rule.

You can then set a rule and specify whether the user is added or skipped if they match the conditions.
