Integrating with Justworks

To begin setting up your Justworks integration, click on the Settings button and then on Integrations.

Next, click Add to SkyPrep under Justworks. If Justworks is under the "Disabled Integrations" list, click Configure.

Next, select Link Justworks.

The first thing you will need to do in order to link your Justworks account is to Set up Service Account using the values:

Last Name: Service Account

To set up a Service Account in Justworks, follow these steps:

1) Navigate to Manage Employees

On the Justworks Landing Page, navigate to the "Employees" section under "Manage" to add the Service Account.

2) Click "Add" on the top right corner

Click "Add" on the top right hand corner of the screen to create a new Employee.

3) Click "Add 3rd-Party"

After you click "Add", please navigate to the bottom of the screen to "Add third party or temp". Expand this section, and click "Add 3rd-party".

4) Add all the information for Merge Service Account

Now you will need to add the information to create the Employee that will be leveraged for the Service Account integrations. (Most important information bolded below)

You will use the Name + Email within Merge Link to populate First Name, Last Name, and Work Email.

  • Member Type: 3rd Party Admin / Accountant

  • Admin Access: Yes

  • First Name: Skyprep

  • Last Name: Service Account

  • Title: Service Account

  • Manager: can be empty

  • Department: "No Department" + can be empty

  • Office: "Remote" + can be empty

  • Work Email: *Input email provided in Skyprep Link*

  • Send Invitation to: Work Email, Now

Note: If you are transitioning your Justworks account from a previous authentication process, you will have to re-open the linking modal to open Merge Link and pull the work email. This email address won't be found in Justworks.

For Personal / Home Email: please leave blank. Merge will go through the process of updating this field automatically with another generated email after the Service Account is created.

Once completed, press "Invite Merge".

5) Add all the appropriate permissions

Once you "Invite Merge", you will need to confirm the Service Account's permissions. Please confirm that the Service Account needs be an "Admin", with the below permissions. Our integration requires ALL of the below permissions to be applied to the Service Account - the integration will not complete if the Service Account is not an Admin, or does not have the below permissions enabled.

  • Edit Company Settings

    • This is required for our integration to view Company Information, Office Information + Location, and Department Information. Although Merge only will be viewing this information, Justworks requires EDIT Access in order to view this information, but Merge will not actually be editing any settings.

  • Manage Employees

    • This is required to view Employee Information, and access the Employee Census Report and the Work History Report.

  • View all employee information

    • This is required to view Employee Information, and access the Employee Census Report and the Work History Report.

  • View basic employee information

    • This is required to view Employee Information, and access the Employee Census Report and the Work History Report.

  • Upload and View all Documents

    • This is required to access the Employee Census Report and Work History Report.

  • View Invoices and Reporting

    • This is required to access the Employee Census Report and Work History Report.

Finally, return to SkyPrep when you have completed setting up a Practitioner Account/ Service Account, confirm it was created, and then hit Submit.

Set the integration to Enabled and fill in Client Namespace, Username, and Password for your Justworks account, and designate what user fields you want to use in the Expand Fields area. The expected format for Expand Fields is comma-separated text with no spaces, such as "contacts,employmentstatuses,managername".

Next, set the Time Between API Calls. This sets how quickly the integration can submit API requests which allows you to ensure you stay within your allowed API rate limit.

Termination Date Action lets you decide what happens if a termination date is added to a user's profile in Ceridian Dayforce. If Reactivate terminated users in the LMS that are no longer terminated in Justworks is turned on, user will be reactivated if the Termination Date was removed.

Enable Email Notifications on New User Creation will send a welcome email to your users when their accounts are created via the integration.

Remove users from groups they are no longer a part of in Justworks will unenroll users from Groups they are removed from in Justworks. This will also unenroll them from any courses and Learning Paths they are enrolled in via that Group.

Deactivate users in the LMS that are no longer in Justworks will disable removed users, preventing them from being able to log in while retaining all of their training records.

Next, click on the Data Mapping field.

Here you can choose which SkyPrep Property is linked to your Justworks values. The Primary Value is what will be used first, with Secondary Value being used if the Primary value is blank in a user's profile.

You can add additional SkyPrep Properties by adding additional Custom Labels in your Platform Settings area.

Finally, click on Import Rules. This area allows you to set rules to determine which users are added to your platform. To add a rule, click on Add Rule.

You can then set a rule and specify whether the user is added or skipped if they match the conditions.
